Terms and Conditions – Tennis Squad Participation

1. General

These Terms and Conditions govern participation in the tennis squads organised by Hazelwood Lawn Tennis and Squash Club ("we", "us", or "our"). By enrolling in any tennis squad session, you ("the participant" or "the parent/guardian", where applicable) agree to abide by the following terms.

2. Cancellation Policy

  • A minimum of one (1) month's written notice is required to cancel your participation in the tennis squads.
  • Notice must be provided in writing (email or letter) to the head coach or customer service.

3. Payment of Fees

  • All outstanding fees must be paid in full within 14 days of cancellation.
  • Failure to settle any outstanding balance within the stated period may result in further action, including administrative fees or referral to a collection agency.

4. Missed Sessions and Make-Up Policy

  • If your child is unable to attend a scheduled session, they may attend a make-up session on another day, subject to availability.
  • The make-up session must be arranged and completed within 4 weeks of the missed session.
  • Make-up sessions must be agreed in advance with the coach and are not guaranteed for all squads or time slots.

5. Pausing Payments Due to Injury

  • If a child is unable to participate in sessions due to injury or medical reasons, you may request to pause squad payments during the recovery period.
  • A doctor’s or physiotherapist’s note confirming the injury and expected duration of absence is required to process the payment pause.
  • Payment pauses will not be backdated and will only apply from the date medical documentation is received.

6. Communication and Issues

  • For any issues or concerns relating directly to squad sessions, please contact your coach in the first instance.
  • For all other enquiries, including payments or administrative matters, please contact Customer Service at 07897 047 892.

7. Amendments

Hazelwood Lawn Tennis and Squash Club reserves the right to amend these Terms and Conditions at any time. Changes will be communicated via email or published on our website.

8. Acceptance

Participation in the tennis squads constitutes acceptance of these Terms and Conditions.
